Most activity businesses in the UAE ask for fees on WhatsApp. The owner writes each reminder by hand, often late at night. Some messages are too soft, and the parent forgets. Some are too hard, and the parent feels blamed. This post gives you 12 payment reminder messages for class fees. Each message has an English version and an Arabic version. Many parents in the UAE read and write in Arabic. Each message also has a short note on when to send it. The messages come from the work we do with swimming academies, pilates studios and kids' academies while we build [Teamna](/). Copy them, change the words in square brackets, and change the amounts to your own fees. ## How do you write a payment reminder that parents pay? A good reminder has five parts. Put all five in every message: 1. **The name of the parent and the child.** The parent sees at once that the message is for them. 2. **What the fee is for.** Write the month, the term or the package. 3. **The amount in AED.** Write the number. Do not write "the fee" only. 4. **The day to pay by.** Write a date, not "soon". 5. **One way to pay.** A card payment link is best. The parent can pay by card with the link, and you do not check screenshots. Three more rules: - **Send each reminder to one family.** Never post a list of families who did not pay in the group. It makes parents feel watched, and it shows private facts to other families. - **Send at a normal time.** Between 9am and 8pm is a good window. Do not send during Friday prayer. In Ramadan, send in the evening after iftar. - **Use the same words each month.** Parents learn the pattern. A different tone each month reads as a mood, not a rule. ## 1. The first reminder, before the due date **When to send it:** 3 days before the due date. This is the most important message. Most families pay after this one. **English** > Hello [parent name]. The reminder on the due date **When to send it:** in the morning of the due date, only to families who did not pay yet. The last line stops a parent who paid from feeling blamed. **English** > Good morning [parent name]. Today is the last day to pay the [month] fee for [child name]: AED 600. Pay by card here: [link]. The fee is a few days late **When to send it:** 3 days after the due date. Keep it friendly. Most late payments come from a busy parent, not from a problem. The fee is one week late **When to send it:** 7 days after the due date. Now say what happens next. Give a clear date. Do not threaten. A fact is enough. **English** > Hello [parent name]. A package has one session left **When to send it:** after the member uses the second last session. This message suits a pilates studio or any business that sells packages of sessions to adults. The member can pay before the package ends, so the bookings do not stop. **English** > Hello [name]. You have 1 session left in your 10-session package at [studio name]. The next package is AED 1,200 for 10 sessions. A package ended **When to send it:** on the day the package ends, because the member used all sessions or the package expired. Say why it ended. Then give the next step. **English** > Hello [name]. A missed session that still counts **When to send it:** on the day after a late cancellation or a no-show. This message asks for no money. But it stops a dispute at the next payment, because the parent knows the session count before the package ends. Say the rule in one line. A new term starts **When to send it:** 2 weeks before the term starts. Swimming academies in the UAE often follow the school terms. Tell the parent that the child keeps the same class, then give the fee and the date. **English** > Hello [parent name]. The new term at [business name] starts on [date]. Two children in one family **When to send it:** on the same day as message 1, in place of two separate messages. One message with one total is easier to pay. Show each child and each amount, so the parent can check the sibling discount. **English** > Hello [parent name]. This is the [month] fee for your two children. [first child]: AED 600. Part of the fee is paid **When to send it:** on the day you see a payment that is less than the fee. Say thank you first. Then give the open amount. The payment arrived **When to send it:** on the day the payment arrives, for every payment by cash, bank transfer or card. This message is not a reminder. But it is the reason the next reminder works: the parent trusts your records. **English** > Hello [parent name]. We received AED 600 for [child name], the [month] fee. Thank you. You do not need to do anything else. A polite final notice **When to send it:** 14 days after the due date, after messages 3 and 4. Send it one time only. Say what you sent before, say the last date, and say what happens after that date. Offer a payment plan. Use one schedule for every family. Put it in your calendar, or let your class system send it. | Day | Message | Send to | |---|---|---| | 14 days before a new term | 8. The fee is due on the 1st. On the 28th of the month before, every family gets message 1. On the 1st, message 2 goes to the families who did not pay. On the 4th, message 3 goes out. Most months, the owner sends message 4 to two or three families, and message 12 to almost nobody. ## What should a payment reminder never say? - **Never name a family in the group.** Talk about money with one family at a time. - **Never use capital letters or many exclamation marks.** They read as anger. - **Never write "as per our records" with no amount.** Give the amount and the date, so the parent can check. - **Never change the rule in a reminder.** If the fee or the due date changes, send a separate message first. - **Never ask for a screenshot of the transfer.** Ask for the transfer reference, or send a card payment link. ## How does Teamna send these reminders? Use the name of the parent and the child. Give the fee in AED, what it is for, and the day to pay by. Add one way to pay, for example a card payment link. Say thank you. Then give the amount that is still open and a way to pay it. Do not send the full fee again, because the parent then thinks you lost the first payment. ### How do I tell a parent that a missed session still counts? Send a short message on the next day. Say the date of the session and why it counts. Then give the rule in one line, for example "cancel by 10am on the day to keep the session".
