# How do I import my members from a CSV file?

> Bring your member list into Teamna from a spreadsheet: the columns to use, how to check the rows, and what happens after the import. Nobody is contacted.

If your members are in a spreadsheet, import them as a CSV file. Teamna contacts nobody during the import. You invite your members after it. Import on the web app. The mobile app cannot import.

> Teamna shows the words of your business. A swimming academy sees Parents, Swimmers and Levels. A pilates studio sees Clients and Classes. This article uses *member* for the person who books, *participant* for the person who comes, and *group*.

## Open the import

- **During setup:** on **Home**, the setup card shows the step **Import** with your word for members. Open it and select **Import a CSV file**.
- **After setup:** open your members page (for example **Parents** or **Clients**) and select **Add** (the button shows your word, for example **Add parents**). Select **Spreadsheet**, then **Open the spreadsheet import**.

## Make the file

Use one row for each participant. If a parent has two children, use two rows, and write the name and mobile number of the parent on each row.

| Column | Necessary | What to write |
| --- | --- | --- |
| Member name | Yes | The name of the person who books and pays. |
| Mobile number | Yes | A UAE number such as 050 123 4567, or another number that starts with + or 00. |
| Participant name | No | The name of the person who comes. Without it, the member is the participant. |
| Group | No | The group of the participant. If the group does not exist yet, Teamna puts the participant in it when you add it. |
| Sessions left | No | A whole number from 0 to 200. |
| Paid or owed | No | "paid" or "owed". Empty means paid. |

### If your members book for themselves

At a business where members book for themselves, for example a pilates studio, the file is a client sheet. Use one row for each client. There is no participant column and no group column.

| Column | Necessary | What to write |
| --- | --- | --- |
| Client name | Yes | The name of the client. |
| Mobile number | Yes | A UAE number such as 050 123 4567, or another number that starts with + or 00. |
| Email | No | The email of the client. Teamna keeps it on the account of the client. It signs in only after a code proves it. |
| Package | No | The name of a package on your **Packages** page. Empty means your first package. An intro offer cannot hold sessions left. |
| Sessions left | No | A whole number from 0 to 200. Add your packages before you import this column. |
| Ends on | No | The last day of the package, day first, for example 31/12/2026. Empty means the end of this month. A day before today is a problem. |
| Paid or owed | No | "paid" or "owed". Empty means paid. |

The column names can be in your own words. Teamna reads names such as "Parent", "Phone", "WhatsApp", "Child", "Student", "Level" or "Class", and you can change each match.

To make a CSV file, open the spreadsheet and use **File**, then **Download** or **Save as**, then **CSV**. One import can have up to 2,000 rows.

## Import the file

1. **Choose the file.** Select **Choose a .csv file**.
2. **Match the columns.** Teamna matches each column from the first row. If a match is wrong, change it in the list next to the column. If a column is not in your file, select **Not in the file**.
3. **Check the rows.** Each row shows **Ready** or a problem, for example "No mobile number" or "Not a mobile number we can read". Rows with problems are left out. A row that repeats another row shows "Same person as line" and the line number.
4. **Import.** Select **Import** with the number of rows.

Teamna shows **Import done** with how many participants it added, how many it moved to a new group, and how many balances it set. For a client sheet, it shows how many clients it added and how many balances it set. Each balance ends on the day in **Ends on**.

If you came from the setup step, go back to the **Import** page and select **Save** to finish the step.

## After the import

Teamna sends no message to the people in the file. They show as "not joined" until they join your business with your join link. When a person joins with the same mobile number that is in your file, they get in at once. You do not need to approve them. See [How do I invite parents and members to my business?](/help/invite-parents-and-members).

## Fix a mistake

There is no undo for an import. To fix rows, correct the file and import it again. Rows that did not change stay the same. If you change the group of a participant, Teamna moves the participant to the new group.

To fix one person, open the member and open the **Settings** tab. You can change the name and the mobile number until the person signs in. To take a member off, select **Remove the family**. The message after it has **Undo**.

## Other ways to add members

On the **Import** page, you can also select **Open WhatsApp sync** to read the people in your WhatsApp group, or **Paste numbers** to paste a list of mobile numbers.

## Frequently asked questions

### Does Teamna send a message to the people in my file?

No. The import contacts nobody. You choose when to invite your members.

### What if I import the same file two times?

Rows that did not change stay the same. Teamna does not make a second copy of a person.

### Can I import sessions that members already paid for?

Yes. Use the **Sessions left** column. Teamna sets the balance of each participant from it. In a client sheet, also use **Package** and **Ends on**, so each balance belongs to the correct package and ends on the correct day.

### Is there a template file?

No. Use your own spreadsheet. Teamna matches the columns, and you can change each match before you import.
