Most activity businesses in the UAE take attendance in a WhatsApp group. The coach is at the pool or on the pitch. The phone is in a pocket. WhatsApp is already open. So the register goes into a chat.
This can work. But many owners tell us the same thing: "We take attendance, and one month later we cannot find it." The answer is in the chat somewhere, between a birthday photo and a question about swim caps.
This post shows four ways to take attendance in a WhatsApp group. For each one, you get a message to copy in English and in Arabic, and the problems to look for. Then we show which method fits which job, the rules that keep the record clean, and the signs that it is time to stop.
The methods come from the work we do with swimming academies, pilates studios and football clubs while we build Teamna. Change the words in square brackets. Use your own sessions and names.
Why take attendance at all?
A register is a record for each child and each session. You need it for four jobs:
- Answer a parent. "How many sessions did Lina come to in October?" You give a number, not a guess.
- See who stopped coming. A child who misses two weeks often leaves the business next month. You can call the parent before that happens.
- Plan the coaches. You see which sessions are full and which are half empty.
- Stop arguments about sessions. When a parent says "she came last Tuesday", you can check.
A WhatsApp attendance method is good when it does these four jobs. Most methods do one or two.
Method 1: The coach posts the register after the session
This is the method we recommend if you stay on WhatsApp. The coach takes attendance at the session, on paper or from memory. Then, within one hour, the coach posts one message with three lists: who came, who was absent, and who came with no booking.
Post it in a staff group, not in the parents' group. Make a group with the owner and the coaches only. Parents do not need to see which other children were absent.
English
Attendance: [day and date], [time], [group name], [place]. Coach: [coach name]. Came: Omar K., Lina S., Yousef A., Maya H., Adam R. Absent: Sara M., Karim B. Came with no booking: Zaid T. (trial)
Why it works: one message for each session, in the same form each time. The owner can search the chat for a name or a date.
Problems to look for:
- A coach forgets to post, and nobody sees it until a parent asks.
- Two coaches write the same child in two ways ("Omar K." and "Omar Khaled").
- Search finds the message, but it does not count. To know how many sessions Lina came to in October, you still read every message.
Method 2: A WhatsApp attendance poll
Many clubs post a poll in the parents' group before the session: "Who comes on Saturday?"
To make a poll, open the group and tap the + or the paperclip icon, then tap Poll. The place of the button can change with the app version. Write the question and two answers. If you see Allow multiple answers, turn it off. Newer versions of WhatsApp also let you hide the names of the voters and set an end time. Use an end time before the session starts: after it, nobody can vote or change a vote. The options you see depend on your app version.
English
Question: Who comes to [group name] on [day], [time]? Answer 1: Yes, my child comes Answer 2: No, my child does not come this time
Arabic
السؤال: من سيحضر [اسم المجموعة] يوم [اليوم]، الساعة [الوقت]؟
الجواب 1: نعم، طفلي سيحضر
الجواب 2: لا، طفلي لن يحضر هذه المرة
Why it works: it is fast, and parents know polls. You see how many children to expect, so you can plan lanes, coaches and equipment.
Problems to look for:
- A poll is a plan, not a register. It shows who said they come. It does not show who came. Some parents vote yes and do not come. Some do not vote and come.
- With no end time, parents can change the vote at any time, also after the session.
- In a group poll, the members can see who voted for each answer, unless you hide the names of the voters.
- Many parents vote late, or never.
Use a poll to plan. Then the coach still marks who came, with method 1.
Method 3: A list that parents copy
The coach posts a numbered list before the session. Each parent copies the message, adds the child's name, and sends it again.
English
[Group name], [day], [time]. Coming? Copy this message, add your child's name, and send it.
- Omar K.
Arabic
[اسم المجموعة]، [اليوم]، [الوقت]. هل سيحضر طفلك؟ انسخ هذه الرسالة وأضف اسم طفلك وأرسلها.
- عمر ك.
Why it works: parents like it, and the last message shows the full list.
Problems to look for:
- Two parents copy the same message at the same time. One name goes missing.
- Each copy is a new message, so the group gets 20 messages for one session.
- Like the poll, it shows who said they come, not who came.
Method 4: A photo of a paper register
The coach marks a paper list at the session. After the session, the coach takes a photo and sends it to the staff group.
Why it works: paper is fast at the poolside, with wet hands and no signal. The coach does not type.
Problems to look for:
- You cannot search a photo. To find one child, you open every photo.
- Handwriting is hard to read, and a photo in bad light is worse.
- The photos stay on the phones in the group. When a coach leaves or changes phone, the coach's copies can go too.
If your coaches like paper, keep the paper. But type the register into method 1, or into a sheet, on the same day.
Which method for which job?
| Job | Best method |
|---|---|
| Know how many children come, to plan the session | A poll the day before (method 2) |
| Record who came | The coach posts the register after the session (method 1) |
| A fast mark at the poolside with no signal | Paper, then type it on the same day (method 4, then method 1) |
| Answer "how many sessions did my child come to?" | A sheet or a class app. A chat does not count for you |
Rules that keep the record clean
These rules make any WhatsApp method better:
- One person posts. The coach on the session posts the register. Nobody else.
- Post within one hour. After that, the coach forgets who came late or left early.
- Mark every child. Came, absent, or came with no booking. A child with no mark is a question later.
- Write each name the same way. Use the first name and the first letter of the family name. When two children have the same name, write the full family name for both.
- Keep the register out of the parents' group. Parents see their own child, not the other children. Our post on signs your club has outgrown WhatsApp groups tells more about privacy in a group.
- Copy it to a sheet once a week. A chat is not a record. A sheet counts the sessions for you. Our free attendance sheet for Excel has a tab for attendance, a tab for payments and a tab for members. You do not need to give an email to get it.
When WhatsApp attendance stops working
WhatsApp attendance works for one coach and a few sessions a week. These are the signs that your business is past that point:
- A parent asks how many sessions their child came to, and the answer takes 20 minutes. You scroll, count and still are not sure.
- You see that a child stopped coming only when the parent stops paying. Nobody looked at the absences in time.
- A coach forgets to post, and nobody sees it. One missing register is a small problem. Ten are a month with no record.
- A child came with no booking, and nobody decided about the session. The coach wrote "Zaid came", and then nothing happened.
- You copy the chat into a sheet every week, and you are always late. The copy work is now a job.
If you see two or more of these signs, the chat is too small for the job.
How does Teamna take attendance?
This is what Teamna does today:
- The coach marks attendance on the phone. The coach opens today's session in the Teamna app and taps Take attendance. The coach chooses one card at a time or a list. On a card, swipe right for yes and left for no. Then the coach checks the marks and saves.
- No signal at the pool. In the mobile app, the coach can save attendance with no signal. The app keeps it on the phone and sends it when the signal comes back.
- Someone came with no booking. The coach taps Someone else came and finds or types the name. Teamna takes no session yet. The owner decides on Home: take one session, or let it go.
- The owner sees it in the office. Open a session on the calendar to see who is booked and who came. Your home page lists the children who still have sessions left but have not come in two weeks. You can send their parent a message in one tap.
- A coach sees only their own sessions. The owner and admins can take or change attendance for any session.
- Attendance does not change the balance. A session comes off the package when the parent books it. The mark is a record only.
Read more on the attendance page, or see each step in the help article How do I take attendance at a session?.
Teamna costs AED 275 a month for each business, plus VAT where it applies. There is no charge for each coach. The 7-day trial is free, and you do not need a card. Teamna is in early access: tell us about your business and we set it up with you.
What to do this week
- Make a staff group with the owner and the coaches only, if you do not have one.
- Copy the register message from method 1. Send it to each coach.
- Ask each coach to post it within one hour after each session.
- At the end of the week, copy the registers into the attendance sheet.
- After four weeks, look for children with two absences in a row. Send their parent a short, kind message.
