How do I take attendance at a session?

Mark who came on the web or in the mobile app, check in clients by name at the start, add a person who was not booked, and change the marks later.

The staff member on the session takes attendance. An owner, an admin or the front desk can take attendance for any session. Staff can take attendance only for their own sessions.

Teamna shows the words of your business. A swimming academy sees Coaches and Swimmers. A pilates studio sees Instructors and Clients. This article uses staff and participant.

Open the session

You can take attendance from the day of the session. Before that day, Teamna shows "Not today yet".

  • Staff, on the web: open Today. Find the session and select Take attendance.
  • Owner, on the web: open Calendar and select the session, then select Take attendance. On a computer, Calendar opens on the Today view. You can also start on Home: find the session under Sessions today and select it, or select Open session. Each session there shows how many places are booked, how many people wait, and how many come for the first time.
  • In the mobile app: on the Today screen, select Take attendance. An owner can also open a session and select Take attendance.

Mark who came

  1. The first time, Teamna asks how you want to work. Select One card at a time or A list. You can change it later with the Cards and List switch at the top.
  2. For each participant, select Yes if they came, or No if they did not come. On a card, you can also swipe right for yes and left for no.
  3. When you checked everyone, select Check and save.
  4. Teamna shows Check before you save. Tap a name to change it.
  5. Select Save attendance.

Teamna shows the time it saved the attendance, and how many came and how many were absent.

A participant who comes to their first class at your business has a First class badge next to their name. The badge shows on the cards, on the list and on the check-in list, for every business. A class that the participant booked and then cancelled does not count. A class where the participant was absent does not count.

Check in clients by name at the start

This part is for a business where clients pick each class (a studio). A business where each participant stays in one group uses the cards and the list, as above.

  1. Open the session as above. The screen opens on Check-in. The Cards and List switch is next to it.
  2. The class list opens 15 minutes before the class. Before that time, Teamna shows when it opens.
  3. Tap each client who comes. Teamna saves each tap at once and shows Here and the time. There is no Save button.
  4. To take a check-in back, tap the name again.
  5. A client who comes after the start shows Late and the time.
  6. 10 minutes after the start, Teamna marks absent each booked client who did not check in. The row shows "Teamna marked this" and the time.

Teamna marks absent only when the staff member checked in one client or more in that class. So when you take attendance with the cards or the list, Teamna marks nobody. Teamna never changes a mark that a person made.

A client who comes after Teamna marked them absent: tap the name. Teamna checks them in, late.

The owner can turn off the absent marks. Open Settings, then Business, and find Check-in. Turn off Mark absent who did not come. Then the staff member marks absent who did not come, with the list.

Someone came who was not booked

  1. On the attendance screen, select Someone else came.
  2. Type the name. Most people are already in Teamna, so search first.
  3. When you find the person, select Came today.
  4. If the person is not in Teamna, select Add "name" as a new participant, then select Add name, came today. You can also add a note for the owner with the name and mobile number of the parent or member.

Teamna takes no session from this person yet. The owner decides. The owner sees a Decide job in the To do list on Home, and selects Take 1 session or Let it go for each person. If nobody decides in 7 days, Teamna takes nothing.

Attendance does not change balances

Teamna takes the session from the balance when the participant books it. Attendance is only a record. A participant who did not come keeps nothing back and loses nothing more. If a session must go back, the owner opens the member page and selects Add sessions.

Change the attendance later

Open the session again and select See or change (on the web, for staff), See or change attendance (for the owner), or Change (in the mobile app). Make the change and save again. You can change it on the session day or at any time after it.

No signal at the class

In the mobile app, you can save attendance with the cards or the list with no signal. The app keeps it on the phone and shows "Saved on this phone". It sends the attendance when the signal comes back and the app is open. To send it at once, select Send now. A check-in tap needs a connection: with no signal, the tap does not stay and the app tells you. Use the list, and it saves on the phone. The web app needs a connection to save.

Frequently asked questions

Does a participant who did not come lose a session?
The session came off the balance when the participant booked it. Marking them absent does not take a second session and does not give the session back. When your business asks for a fee for a no-show, an absent mark puts a fee in the To do list on Home. Teamna sends nothing until the owner or an admin sends it (see How do I set packages and cancellation rules?).
Can staff take attendance for a session of another staff member?
No. Staff can take attendance only for their own sessions. The owner, admins and the front desk can take attendance for every session.
Can I check in a client before the class starts?
Yes, from 15 minutes before the start. Before that time, the names show but a tap does nothing.
Can I change a mark that Teamna made?
Yes. Tap the name on the check-in list, or use the list or the cards. Your mark replaces the mark of Teamna, and Teamna does not change it again.
Can I take attendance before the session day?
No. Attendance opens on the day of the session. Before that day, Teamna shows "Not today yet". There is one exception: the check-in list opens 15 minutes before the class, also when the class starts just after midnight.
What happens to a person who came but was not booked?
Teamna marks them as came and takes no session. The owner decides on Home: take one session or let it go.
